This policy explains what happens to personal data when you use the DeskCalc application, visit deskcalc.com, or buy a licence. It is written to meet the information duties of Articles 13 and 14 GDPR.

The short version

The DeskCalc application does not collect, store or transmit any personal data. It runs entirely on your computer. What we do process happens on our website and when you buy a licence — that is described below.

We have not appointed a data protection officer; we are not required to.

2. The DeskCalc application

This is the section that matters most to people who install the app, so it is deliberately explicit.

• No data leaves your computer. DeskCalc does not connect to the internet on its own. It sends no usage data, no telemetry, no crash reports and no analytics.
• No account, no sign-in. You do not register, and we do not know who is using the application.
• Your calculations stay with you. Tapes, entries, labels, settings and any files you save are written to your own computer only. We never see them.
• No advertising and no advertising identifiers.
• The licence key is checked on your device. Entering your key does not contact any server and does not transmit your key anywhere.

If you obtained DeskCalc through the Microsoft Store, Microsoft processes your acquisition of the app under its own privacy statement. We receive no personal data from Microsoft about individual users — only aggregate figures such as the number of downloads.

3. Visiting deskcalc.com

Server log files

Our hosting provider records each request to the site: IP address, date and time, the page requested, referring page, browser and operating system version. This is needed to run the site and to recognise attacks and faults. Legal basis: legitimate interest, Article 6(1)(f) GDPR. Log entries are deleted after a short period and are not combined with other data.

Google Analytics

We use Google Analytics 4, a web analytics service of Google Ireland Ltd., Gordon House, Barrow Street, Dublin 4, Ireland, to see which pages are read and which downloads are started. Analytics cookies store a pseudonymous identifier in your browser; the data processed includes a shortened IP address, pages viewed, clicks and approximate region. We do not use it to identify individual visitors, and we do not run advertising or remarketing from it.

Google may transfer data to servers in the United States. Google LLC is certified under the EU-US Data Privacy Framework, which the European Commission has recognised as providing an adequate level of protection.

You can prevent Analytics from running by installing Google's opt-out browser add-on: tools.google.com/dlpage/gaoptout. Most browsers also allow you to block or delete cookies for this site. If you would rather tell us directly, write to This email address is being protected from spambots. You need JavaScript enabled to view it. and we will remove your data from our property.

Contact form and e-mail

If you write to us — through the contact form, by e-mail or by phone — we process what you send us in order to answer. That is contract-related correspondence under Article 6(1)(b) GDPR, or our legitimate interest in answering enquiries under Article 6(1)(f). We keep the correspondence as long as the matter is open, and afterwards only where retention periods require it.

4. Buying a licence

Licences are sold through PayPal. When you pay, we receive from PayPal the data we need to issue and deliver your licence: your name, your e-mail address, the amount, the currency and the transaction reference. We never see your card or bank details — those stay with PayPal.

We use this data to generate your licence key, to send it to you by e-mail, and to be able to help you later if the key is lost or a colleague needs a second seat. Legal basis: performance of a contract, Article 6(1)(b) GDPR, and our legal duty to retain business records, Article 6(1)(c).

Your licence mail may include one question about what prompted your purchase. Answering is entirely voluntary, and not answering changes nothing about your licence.

PayPal acts as its own controller for the payment itself. Their terms: paypal.com/privacy.

5. Service providers

• World4You Internet Services GmbH, Hafenstrasse 35, 4020 Linz, Austria — web hosting and e-mail delivery. Servers in Austria.
• PayPal (Europe) S.à r.l. et Cie, S.C.A., 22-24 Boulevard Royal, 2449 Luxembourg — payment processing.
• Google Ireland Ltd., Dublin, Ireland — website analytics (see above).

We do not sell personal data, and we do not pass it on for advertising.

6. How long we keep data

• Order and licence records: seven years, as required by Austrian tax law (§ 132 BAO).
• Correspondence: until the matter is settled, then according to the same retention rules where applicable.
• Server log files: a short period, then automatic deletion.
• Analytics data: 14 months, then automatic deletion by Google.

7. Cookies

The site itself sets only what it needs to work — for example a session cookie while you use the contact form. Beyond that, the only cookies are those set by Google Analytics described in section 3. There are no advertising cookies and no cross-site tracking.

8. Your rights

Under the GDPR you may ask us for access to the data we hold about you (Art. 15), correction (Art. 16), erasure (Art. 17), restriction of processing (Art. 18), a copy in a portable format (Art. 20), and you may object to processing based on legitimate interest (Art. 21). Where processing rests on your consent, you may withdraw it at any time with effect for the future.

You also have the right to complain to a supervisory authority. Ours is the Austrian Data Protection Authority, Österreichische Datenschutzbehörde, Barichgasse 40-42, 1030 Vienna, dsb.gv.at.

9. Children

DeskCalc is a tool for professional and private bookkeeping. It is not directed at children, and we do not knowingly collect data from them.

10. Changes to this policy

If we change how we handle data, we update this page and the date at the top. We do not apply changes retroactively to data already collected.
